Timely Processing of Employee Appointments

Policy
Purpose: 

Kansas statute requires that employees be paid all wages due them on regularly scheduled pay periods and in a timely manner. This policy outlines the requirements for making University of Kansas hires, rehires, or appointment changes effective in order to assure timely pay.

Applies to: 

Faculty, staff and student employees of all KU campuses.

Policy Statement: 

A hire, rehire, or appointment change must be in effect at the time an employee begins work in a new capacity. Thus, the processes required to complete that action must be completed in advance of the effective date of the appointment or change. Hires, rehires, and appointment changes cannot be made retroactively. Accountability for assuring timely hires, rehires, and appointment changes rests with the director, dean, and/or vice provost/chancellor.

Exclusions or Special Circumstances: 

Deans or directors who wish to address issues and questions arising from the application of this policy must submit their concerns in writing simultaneously to Human Resources and the Vice Provost/Vice Chancellor for their campus (Chief Financial Officer and Vice Provost for Finance, University of Kansas Medical Center and its reporting units; Chief Financial Officer and Vice Provost for Finance, Lawrence Campus and its reporting units).
